Building Rental info

BUILDING RENTAL INSTRUCTIONS (FY 11-12)

Reservation: 
Reservations may be made at anytime.  A $40.00 deposit is required, however, the deposit will be waived for senior groups.  The deposit will be returned unless there is damage to any part of the building.  No alcohol is allowed at anytime. 

Rental Times:
The agreed upon rental time must be adhered to, unless prior arrangements are made with the Activity and Resource Director.  The building should be cleared at the end of the rental time.  
   
Fees:
The deposit is to be paid at the time of the reservation.  The total rent is due before the rental date.  Ten percent (10%) of the rent will be withheld if the reservation is canceled within a day of the event.
  *The rate is $40.00 per hour for the use of the dining room and living room
  *The kitchenette (microwave & sink) and coffee maker are available for use, but the kitchen is not.
 
Procedures:
A key card for entry will be assigned to the rental group, or a Heartland staff person will open up the building. The key card should be returned by the next business day.

One person from the group or organization shall be designated as the person responsible for insuring that the building is locked at the end of the event and that the area is left in the following conditions:
   *The area is left clean and orderly.
   *All lights are turned off, except one table lamp.
   *All equipment is returned to its original location.
   *All windows are closed; fans are turned off
   *When snow removal to sidewalks is needed afterhours, the renter will assume responsibility.
   *East entrance door locked from the inside when done and exit through the north door past Transportation.

Important: For consideration of Heartland Senior Services’ granting permission to utilize the facilities, the applicant(s)/renters hereby promise, covenant, and agree to hold the Heartland Senior Services facility and staff harmless. The applicants also promise to indemnify Heartland Senior Services against any claims or loss of property and personal injuries resulting from or arising out of the activities to be held and conducted by the applicant on the premises.  Furthermore, the applicants/renters agree to abide by the rental agreement guidelines and assume responsibility for any damages and/or cleaning costs.
