Key Policy/Procedures



Heartland Senior Services is committed to protecting the safety and security of the building which houses the offices and activities of Heartland as well as the participants, clients and staff who use the building. Therefore, the policies and procedures noted below are in effect for the use of keys and access to the building during non-business hours.

1. Electronic exterior passes are assigned to individual users upon approval by the appropriate department head or senior administrative staff .

2. Users of exterior passes must sign and abide by the Key/Electronic pass policy which must be signed by the recipient prior to the receipt of a pass.

3. The electronic exterior passes for non-staff members, will only operate the East door of the building which is considered the public entrance

4. Loaning exterior electronic passes is not recommended. If that is done, the assigned user is responsible for any misuse of the electronic pass

5. The department head who authorizes the distribution of an exterior electronic pass is responsible for any issues that arise with the use of the authorized pass and is the designated first contact by the user should there be problems.

6. For the purpose of building security, the building should be “cleared” when the last non-transit, non-adult day care staff member leaves the building at the end of the work day. Re-entry into the building is allowed by use of the assigned user electronic pass which then “registers” the entry time and user name.

7. ALL EXITS FROM THE BUILDING OUTSIDE OF BUSINESS HOURS SHOULD BE THROUGH THE NORTH DOOR (TRANSPORTATION EXTERIOR DOOR). However, entry back into the building is only allowed through the East Door.

8. EXTERIOR DOORS ARE NOT TO BE PROPPED OPEN FOR THE PURPOSE OF LOADING AND UNLOADING MATERIALS OR EQUIPMENT. Propping doors open undermines the building security and also allows unwanted small animals access to the building, thus jeopardizing health standards for nutrition and day care.

9. The staff member authorizing the assignment of an exterior electronic pass is responsible for training the user on the methods of entry, keeping the exterior doors locked when in the building, making sure the East door is locked upon leaving the building and exiting through the North door. Staff members should make sure the user has a copy of this document and the contact information of the authorizing staff member.

10. The department head or senior administrative staff have the right to terminate the assignment to any non-staff user should it be deemed a risk to the building , clients, participants or staff to continue allowing the user to have an external exterior pass.
